Security Measures and Conservation of Your Personal Information

We are concerned about preserving the quality and integrity of your personal information. The technologies and security policies that we and our service providers implement help us protect, to the extent possible, personal information against unauthorized access, misuse, alteration, malicious or accidental destruction, or any involuntary data loss.

We have implemented reasonable security measures to protect ourselves against theft, loss, misuse, or alteration of your personal information, such as the implementation of firewalls and encryption technologies, as well as restricting access to personal information to only employees who actually need it. However, it is important to note that any information transmitted over the internet can be intercepted by a third party. Therefore, we cannot and do not assume responsibility in case of theft, loss, misuse, or alteration of any personal information transmitted over the internet. The safety and security of your information are also your responsibility. Your password is an essential tool for ensuring the protection of your account. If you communicate your password or personal information to other people, be aware that you will be held responsible for everything that is done using the identifiers of your account. If the security or use of your password is compromised, for any reason, you should immediately inform Appligogiques and choose a new password.

We retain personal information as long as it is necessary to do so to achieve the purposes for which they were collected, or for legal or commercial purposes. When your personal information is no longer necessary, we destroy or anonymize your personal information (i.e., we modify the information so that it does not allow identifying, directly or indirectly, a specific person or allowing to trace it, and this irreversibly) to use it later, in accordance with applicable laws.

We limit access to protected data to employees who need this information for their functions, adhering to the principle of minimal access rights. Authorized employees are trained on their data handling responsibilities and relevant data security laws and are provided with a unique user ID for accountability purposes.

We commit to maintaining the security of our systems and services through regular updates, including security fixes, bug corrections, and functional enhancements. These updates are conducted without prior notice to ensure the effectiveness and security of our systems, while respecting our Privacy Policy and not disrupting the user experience.

We keep a precise "log" of user actions in the system for security reasons. This log, including the date, time, and details of actions, helps identify and respond to any suspicious behavior or security breach. This information is collected and stored in accordance with our privacy policy and is used to protect the security of our users and the integrity of our service.

Finally, we regularly conduct risk assessments and compliance checks regarding data privacy and security. Any identified security vulnerabilities are promptly addressed. We have a written incident response plan that includes immediate notification to schools or school districts in case of a security incident and establishes best practices for managing personal data breaches. A link to this plan is available.

Hosting and Transfers of Personal Information

We will retain personal information on our internal servers or with service providers. Data is stored in Canada, but the personal information collected about you may be stored and/or processed elsewhere than in the jurisdiction in which you reside. Our service providers may store and process personal information outside Quebec and Canada (including in the United States and European Union countries). When information is stored or processed outside your jurisdiction, it may be subject to the laws of the judicial authorities of these other jurisdictions and be accessible by them. We have taken appropriate technical, organizational, and legal measures to secure this information. We ensure that our service providers respect all applicable laws on the protection of personal information, and implement contractual clauses imposing obligations on them. For more information on the processing of our data abroad, please contact our privacy officer (whose contact details are provided below): Guillaume Langlois, CEOinfo@appligogiques.com.

Cookies and IP Addresses

Visitors to our Sites should also be aware that anonymous technical data may be collected during their visit to our Sites. This may include the visitor's IP address, browser and operating system type, domain name, access times, and referral website addresses. We use this data to identify a person, collect general demographic information about website users, diagnose problems with our systems, and administer the website. If the user's browser settings allow it, the website also uses cookies to provide content tailored to the visitor's preferences and to record their password so they do not have to re-enter it each time.

We will not attempt to link or match this anonymous technical data with personally identifiable information unless we (or our service providers) have obtained your consent or in accordance with applicable laws. Note that we use analytics service providers such as Google Analytics, HubSpot, and Meta. Please refer to the websites of these service providers for more information on their privacy practices (e.g., you can find more information about Google's practices regarding data collection, use, and processing here: http://www.google.com/policies/privacy/partners/). The personal information you share with us is stored in our HubSpot database, hosted by HubSpot and in accordance with its Policy: https://legal.hubspot.com/privacy-policy.

Many web browsers allow you to manage your preferences. You can set your browser to refuse cookies or delete certain cookies. You may also be able to manage other tracking technologies in the same way. In some cases, tracking tools used by third-party service providers can be disabled. For example, Google allows you to disable cookies targeted at ads by accessing the opt-out page on its main site. Google Analytics can also be disabled by downloading the browser add-on available for this purpose. You can also refuse the use of cookies by other third-party providers by logging into the consumer opt-out page of the Network Advertising Initiative.

Third-Party Websites

Our sites may contain links to other third-party websites that may collect personal information. This policy does not include the privacy practices of these third parties (or the lack thereof). We cannot and do not assume responsibility for the policies, practices, and actions of these third parties.

Access to Your Information

We appreciate your help in keeping your personal information up to date and accurate. You have the right to review, verify, amend, and correct your personal information collected by us. To review, verify, correct, or update your personal information, we invite you to contact our privacy officer using the contact details provided at the end of this Policy. We may not accept a request to change information if we believe the change would violate any law or legal requirement or result in incorrect information in our records. Before giving you access to your information, providing you with the personal information we hold about you, or making the requested changes, we may ask you for information to help us confirm your identity and your right to access this information. In some cases, applicable laws may require us to refuse to give you access to some or all of the personal information we hold about you, or we may have destroyed, erased, or anonymized your personal information in accordance with our legal record-keeping obligations and best practices in personal information protection.

You may refuse or withdraw your consent to the collection, use, and disclosure of your personal information, or request the deletion of the personal information we hold about you, at any time with reasonable notice, subject to any legal or contractual requirement. However, if consent is refused or withdrawn, we may not be able to provide certain products or services. We will explain the consequences of deleting your information or withdrawing your consent once we receive your request to help you make your decision. If we are unable to give you access to your personal information, we will inform you of the reasons, subject to any legal or regulatory restriction. These restrictions may include, for example, information involving another person that would reveal their personal information or confidential business information, or information that is difficult to obtain and the cost of obtaining it would be prohibitive.

Effective Date and Amendment

This policy, as occasionally amended, has been adopted by Appligogiques and its subsidiaries or affiliated companies on the last update date indicated above. We reserve the right to modify this policy at any time. If we intend to use or disclose personal information for materially different purposes than those described in this Policy, we will make reasonable efforts to inform you, including by posting the revised Policy on our Sites. By continuing to provide personal information or use our Sites after any modification to this Policy, you accept these changes.
